Sending Mass Emails

Associated Service Faculty and Staff Email

Overview

This document lists the steps to setup a new account for sending email messages with a large number of recipients using Office 365.

Requirements

  • Outlook client for Windows/Mac
  • Your Office 365 Email address and password

Create New Account for EMails with a Large Number of Recipients

  1. Click on the File tab.
  2. Click Account Settings, then in the drop-down menu click Account Settings...
  3. In the Account Settings window, click New.
  4. In the Add Account window, select E-mail Account, and then click Next.
  5. In the next Add Account window select Manual setup or additional server types, then click Next.
  6. In the next Add Account window select POP or IMAP, then click Next.
  7. In the User Information section of the Internet Email Settings dialog box:
    1. Enter your name in the Your Name:field.
      NOTE: This name will appear in the "From" field of the email
    2. Enter your email address in the Email address:field.
      NOTE: Respondents' replies to the broadcast email will be sent to the email address you provide. You may enter your own email address or another active email address, such as a department email address.

  8. In the Server Information section of the Internet Email Settingsdialog box:
    1. Select POP3 for the Account Type droplist.
    2. Enter emailbroadcast.gsu.edu for the Incoming mail server field.
    3. Enter mailhost.gsu.edu for the Outgoing mail server (SMPT)field.
  9. In the Logon Information section of the Internet Email Settingsdialog box:
    1. Enter GSU in the User Name: field.
    2. Enter PASSWORD in the Password: field.
  10. In the Test Account Settings section of the Internet Email Settings dialog box:
    1. Uncheck Automatically test account settings when Next is clicked.
    2. Click Next.
  11. Click Finish.

    NOTE: When you complete these steps, your Outlook client will display an error message periodically at the bottom of the Outlook window. You may disregard this error message.


Steps to Send an Email with the New Account

  1. Click New Email under the Home tab.
  2. Click From and select the New Account from the drop-down menu.
  3. Add the recipients in the To field.
    NOTE: You may use a pre-existing email list or click on the "To" button to search contacts in your address book
  4. Enter a subject for your email in the Subject field.
  5. Type out your email.
  6. Click Send to send your email to all recipients.

Create New Account for Emails with a Large Number of Recipients

  1. Open Outlook
  2. Click Tools in the Outlook Taskbar, then select Accounts.

     

  3. Click the + button in the lower-left corner of the Accounts dialog box, then click Email.
  4. In the Enter Account Informationdialog box:
    1. Enter your email address in the Email address:field.
      NOTE: Respondents' replies to the broadcast email will be sent to the email address you provide. You may enter your own email address or another active email address, such as a department email address.
    2. Enter PASSWORD in the Password: field.
    3. Select POP in the Type:droplist.
    4. Enter emailbroadcast.gsu.edu in the Incoming server: field.
    5. Enter mailhost.gsu.edu in the Outgoing server: field.
  5. Click Add Account
    NOTE: When you complete these steps, your new account will be shown in the left window pane, and the new account information is shown in the right pane.


Steps to Send an Email Using the New Account

  1. Click on Email under Hometab.
  2. Select the new account in the From droplist.
  3. Add the recipients in the Tofield.
    NOTE: You may use a pre-existing email list or click on the "To" button to search contacts in your address book.
  4. Enter a subject for your email in the Subject field.
  5. Type out your email.
  6. Click Send to send your email to all recipients.
