Access a Shared Mailbox

Overview

Please use the following steps to view a shared mailbox that you have permission to access in your Office 365 email.

Requirements

  • Access to the internet, or Outlook installed on a Windows or Mac
  • Access rights to a Shared Mailbox account
  • The name or email address of your Shared Mailbox account

NOTE: These instructions can also be used for accessing another’s personal mailbox and calendar in their personal account if they have delegated access to you.

Access a Shared Mailbox

Access a Shared Mailbox with Office 365 Web Access

  1. Go to outlook.com.gsu/edu
  2. Sign in with your Campus email address and CampusID password.
  3. Click your Profile picture and select Open another mailbox.

  4. Enter the name or email address of your Shared Mailbox in the field and select it from the dropdown.

  5. Once you’ve selected your account, click Open

Access a Shared Mailbox in Outlook for Windows

  1. Open Outlook and click the File.

  2. Select Info, then click Account Settings and select Account Settings.

  3. Click Change… in the Account Settings dialog box.

  4. Click the More Settings… button in the Change Account dialog box.

  5. Click the Advanced tab and click the Add… button in the Microsoft Exchange dialog box.

  6. Enter the name or email address of the Shared Mailbox you wish to access in the Add Mailbox dialog box and click OK.

  7. Click Apply. It may take several moments for Outlook to configure the new mailbox.

  8. When Outlook is finished, click OK.

  9. Exit out of the Outlook dialogue boxes. Your Shared Mailbox will appear beneath your primary mailbox in the left bar.

Access a Shared Mailbox in Outlook on Mac

  1. Open Outlook
  2. Click Tools in the Outlook menu bar, and then select Accounts.
  3. Click Advanced in the Accounts dialog box.
  4. Select the Delegates tab.
  5. Click the + button under the People I am a delegate for section of the Delegates tab.
  6. In the Select Userdialog box:
    1. Enter the name or email address of the Shared Mailbox in the search field.
    2. Click the Find button.
    3. Select the Shared Mailbox in the search results.
    4. Click OK
  7. Click OK in the Account dialog box.
  8. Exit out of the Outlook dialogue boxes. Your Shared Mailbox will appear beneath your primary mailbox in the left bar.
